Who we are

Renewal Mate is a personal reminder app for driver licences, vehicle registration, and number plates. It is provided as-is for you to track your own documents. This policy describes what happens to information you put in the app.

Data we store on your device

Saved documents (title, number or plate, name as printed, jurisdiction, class, issue and expiry dates, notes, reminder preferences, household label, and an optional preview photo) are stored only on this device. Document fields live in the app’s local store. Preview photos live in IndexedDB on the same device — not in the same list used for the wallet, so a photo cannot fill up and wipe your dates. We do not create an account. We do not run a user database of licences.

What leaves the device

When you tap Scan, the photo you captured is sent over HTTPS to the app server, which forwards it to OpenAI solely to extract the printed fields. If a number plate has no printed expiry and you paste the official registration check, that text is sent the same way — once, to read the date. The image or paste is not written to our database. It is not retained as a file on our servers after the read completes. Extracted fields are returned to your device for you to confirm and save.

OpenAI processes the image under its own terms and privacy policy at openai.com. Do not scan anyone else’s identity documents.

Permissions

• Camera — to photograph a licence or plate you choose to scan.
• Photos / storage — only if you pick an existing image.
• Notifications — optional 6 / 3 / 1 month, 7 day and 1 day reminders.
• Calendar — when you add dates to this phone we write all-day events into the calendar you pick. Google, Outlook, and .ics export only open when you tap them. We never get your calendar password.
• Google Tasks — optional. We copy the renewal list and open Google Tasks, or share into the Tasks app. We cannot write into your Tasks account from here.
• Internet — to run a scan or read a pasted registration check. The wallet itself works offline.

Purchases

The free wallet holds one document. Unlocking room for the rest is a one-time purchase made through Google Play. Play handles the payment — we never see your card. We use RevenueCat to check whether this device has the unlock: it receives the Play purchase token and an anonymous identifier it generates for the install, and returns yes or no. That identifier is not linked to your name, and none of your documents, photos or dates are sent to RevenueCat or to us. Purchase history for the transaction itself is held by Google Play and RevenueCat under their own policies.

Household labels

Names you add (partner, trailer, second car) stay on this device and are attached to documents you file. They are included in an encrypted backup if you export one.

Home screen widget

The optional widget shows the next expiry and days left using data already on the phone. It does not send that information anywhere.

Notifications and calendars

Reminders are scheduled on the device (Android local notifications) or shown when you open the web app. Tapping “This phone” asks for calendar permission and inserts the expiry and reminder days into the calendar you select. Google Calendar, Outlook, and .ics files are still available. Google Tasks opens with a copied list for you to paste — we never get your Google password.

Your choices

Settings lets you download an encrypted backup (locked with a passphrase you choose — we never see it), restore that file, or delete every document. Uninstalling the Android app or clearing site data removes the on-device store, including IndexedDB preview photos. A home-screen widget only shows the next expiry already saved here.

Children

Renewal Mate is not directed at children under 13. Do not scan a child’s identity documents with this app.

Security

Scan traffic uses HTTPS. On-device storage is whatever the browser or OS provides. Treat this phone like you would a physical wallet: lock the device.

Play Store disclosure

Data safety: personal info (name, ID numbers) collected and stored on-device; photos processed transiently to read the printed fields; purchase data handled by Google Play and RevenueCat. Nothing is sold, and there is no advertising SDK in this app. You can delete everything yourself — see how to delete your data.
